WhatsApp integration (Whapi.cloud)

PayNudge Pro unlocks connecting your own WhatsApp number. Messages are sent from your number (personal or business) for better open rates.

Note on costs

PayNudge Pro provides the UI and automation. Message delivery is powered by Whapi.cloud with its own plans (including free tiers with limits). You choose and pay Whapi according to your volume.

Setup steps

  1. Create your Whapi instance

    Go to Whapi.cloud and sign up. Create a new instance. Whapi is a third-party provider — configure your account with them (free plan, trial, or paid).

  2. Link your number (QR scan)

    In the Whapi dashboard, follow the steps to connect your device. Open WhatsApp on your phone (Linked devices → Link a device) and scan the QR code on Whapi. This sets the official number reminders are sent from.

  3. Enable in PayNudge

    Copy your API token from Whapi. In PayNudge go to Dashboard → Settings → WhatsApp, paste it in the field, and save.

Why this model?

  • Real identity: Clients see messages from you, not a random number — which builds trust and speeds up payment.
  • Flexibility: You choose your WhatsApp budget directly with Whapi. If you prefer zero extra cost, you can use their free tiers within their limits.
  • Email safety net: If you hit Whapi limits, PayNudge still sends email reminders, which are unlimited on paid plans.

Invoice management

Efficiency and structure for your collections flow.

Creating an invoice: Open Invoices, choose New invoice, and enter client, amount, currency, and due date. The system tracks payment status automatically.

Plan limits

  • Free: Free: great for testing — 5 clients, 3 invoices, manual email reminders, full dashboard, reminder history per invoice, priority support.
  • Plus: Plus: unlimited clients, up to 70 active invoices, automated email reminders with a per-invoice schedule, customizable email copy only, reminder history per invoice, priority support — €29.90 / month (excl. VAT).
  • Pro: Pro: everything in Plus, unlimited invoices, WhatsApp via your own number (Whapi, subject to your Whapi limits), customizable email and WhatsApp copy, reminder history per invoice, priority support — €49.90 / month (excl. VAT).

💳 Payment button integration guide

Online payment in PayNudge is designed to shorten time-to-cash. It lets you include a clear call-to-action in reminder bodies (email or WhatsApp).

1. How the payment button (CTA) works

The goal is to make life easy for your client: they open the email, see what they owe, tap the button, and pay. The [Pay online] button is added only when that invoice has its own payment link. PayNudge does not process money — payments go to your bank account through your existing processor (Stripe, SmartBill, FGO, etc.).

Why per invoice?

Add or edit the invoice and paste the URL from your billing tool so the amount matches that invoice.

Benefit: The client lands on a page where the amount and invoice context are already set (e.g. a SmartBill payment link for a specific 500 RON invoice).

No payment button

If the invoice field is empty, the Pay online button is omitted from the reminder (your email body still sends as usual).

You can use a Stripe Payment Link, a payment link from Revolut Business, or any link generated by your invoicing app. For Stripe Payment Links, you can view a tutorial here: https://stripe.com/docs/payments/payment-links

2. How to configure

For the best client experience:

  1. Generate the online payment link in your billing software.
  2. Open that invoice in the PayNudge dashboard.
  3. Paste the link in the dedicated field and save.
  4. When a reminder is sent (automatic or manual), the link is shown as a secure payment button.

Reminders & automation

Recover overdue payments without manual chasing.

Automatic monitoring: On Plus and Pro, PayNudge’s cron sends automated email reminders: per invoice (schedule icon in the list) you can set days before due, send on due date, and how often to repeat while overdue. WhatsApp is never automatic — only manual from the app (Pro + Whapi).

Manual send: From the invoice list you can send an email reminder anytime, or on Pro a WhatsApp reminder when Whapi is configured.

Customizing copy: On Plus, customizable reminder text is for email. On Pro you can also customize WhatsApp, from the client notification preview.
